Roles and access
Can a user have different roles on different Assessments?
No. Roles in Prudentia are workspace-wide, not Assessment-specific. A user's role applies consistently across every project they have access to. If someone needs broader permissions for a specific Assessment, their role would need to be updated globally, which affects all Assessments they are associated with.
What is the difference between Admin and Assessment Owner?
There are two key differences among these roles: cross-assessment visibility and user management.
- Admins can see every Assessment in the workspace even if not explicitly added as a member, and they can invite, remove, and manage users platform-wide.
- Assessment Owners can only access Assessments they own or have been explicitly added to, and they cannot manage users or configure global settings.
Both roles can create Assessments, add data, run simulations, and export reports.
Can Contributors create new Assessments?
No. Contributors cannot create new projects or Assessments, and they cannot add data or run Assessments. They must be added to a project by an Assessment Owner, and their work is limited to editing risk scores, adjusting parameters, and leaving comments within projects they have been assigned to.
If I change a user's role from Assessment Owner to Contributor, what happens immediately?
Role changes take effect immediately across the workspace. A user downgraded from Assessment Owner to Contributor will instantly lose the ability to create new Assessments, add data to projects, run or re-run Assessments, and export reports, even on projects they previously owned.
Their existing work (e.g., Assessments they created, parameters they set, comments they left) is preserved and remains visible to the rest of the team. Only their ability to take new actions changes.
Before downgrading an Assessment Owner, consider reassigning any active Assessments they own to another Assessment Owner to ensure continuity.

How do I change a user's role?
Admins can update any user's role at any time from Settings → User Roles. Select the user, choose the new role from the dropdown, and save. The change takes effect immediately across the workspace. For step-by-step instructions, see How to Set Up User Roles and Permissions.
What happens when a user is deactivated?
Deactivated users immediately lose platform access. Their contributions (e.g., comments, risk score edits, and Assessment inputs) are retained and remain visible to active team members. Deactivation does not delete any data.
